When collecting and using personal data, our policy is to be transparent about why and how we process personal data.
This privacy statement applies to personal data that we collect, use and otherwise process regarding your relationship with us as an individual customer, or a trade customer, including when you purchase directly from our websites, or contact our customer service.
Collection of personal data
We only collect the personal data necessary for agreed purposes. Where we need to process personal data to provide our services we ask our customers to provide the necessary information for that purpose.
Use of personal data
We use personal data for the following purposes:
- Processing orders
When ordering online from the daylightcompany.co.uk, we collect your full name, email address, mailing address, telephone number and your credit card information.
This is used to complete your order and to keep you updated on the status of your order.
Provided you have subscribed to the Daylight newsletter, we use customer contact details to provide information that we think will be of interest about us and our products. For examples, invitations to exhibitions, product launches, educational material about our products and the technology that we use.
The Daylight Company will not trade, sell or rent your personal information (such as name, address, phone number, or company name) to third parties without your consent.
- Market research
Provided you have given us consent to do so, we may from time to time contact you for market research purposes, through focus groups or online surveys.
We retain the personal data processed by us for as long as is considered necessary for the purpose for which it was collected (including as required by applicable law or regulation).
In the absence of activity or engagement with Daylight, our baseline retention period for records is 2 years.
Daylight processes personal data about business contacts (existing and potential Daylight customers and/or individuals associated with them) using a customer relationship management system (File Maker).
The collection of personal data about contacts and the addition of that personal data to Daylight File Maker is initiated by a Daylight user and will include full name, employer name, job title, phone, email and other business contact details. We will also record the date and where contact was initiated, for example: we will record whether initial contact was made at an exhibition, by phone or a face to face meeting.
Use of personal data
Personal data relating to business contacts may be visible to and used by Daylight employees to learn more about an account, client or opportunity they have an interest in, and may be used for the following purposes:
- Administering, managing and developing our business relationships
- Providing information about us and our range of products
- Providing information about changes to Daylight that may affect our business customers, for example: information affecting our fulfilment and warehousing facilities, price lists, product launches, website updates, invitation to exhibitions, changes to Daylight management and any other business-related information that we deem important to communicate to our business customers
- Making contact information available to Daylight employees
- Identifying clients/contacts with similar needs
- Describing the nature of a contact’s relationship with Daylight
- Performing analytics, including producing metrics for Daylight, such as trends, relationship maps, sales intelligence and progress against account business goals
Daylight does not sell or otherwise release personal data contained in Daylight File Maker to third parties for allowing them to market their products and services without consent from individuals to do so.
Personal data will be retained on Daylight File Maker for as long as it is necessary for the purposes set out above (e.g. for as long as we have, or need to keep a record of, a relationship with a business contact).
Others who get in touch with us
We collect personal data when an individual gets in touch with us with a question, complaint, comment or feedback (such as name, contact details and contents of the communication). In these cases, the individual is in control of the personal data shared with us and we will only use the data to respond to the communication.
Visitors to our website
We receive personal data, such as name, title, address, email address, and telephone number, from website visitors; for example, when an individual subscribes to updates from us or makes a purchase directly through our website.
Visitors are also able to send an email to us through the “contact us” page on our website. Their messages will contain the user’s screen name and email address, as well as any additional information the user may wish to include in the message.
When a visitor provides personal data to us, we will use it for the purpose for which it was provided to us, typically to:

Employees and other workers
We collect and maintain personal and sensitive information about employees, contractors and other workers we employ, as well as job applicants and former employees. This information includes: name, contact details, gender, proof of identity, proof of qualifications, bank details, nationality, criminal records check, references, health questionnaire, next of kin.
As an employer we use your data to fulfil our statutory obligations, such as paying salaries, tax, national insurance, health & safety in the workplace, which may also involve sharing information with third parties such as but not limited to: insurers, professional advisors, recruitment agencies, HMRC, DWP, pension companies, and other relevant parties.
Information provided to us during the job application process will be retained by us as part of your employee file for the duration of your employment plus 6 years following the end of your employment. This includes your criminal records declaration, fitness to work, accidents at work, records of any security checks, references and eligibility to work in the UK.
If you are unsuccessful at any stage of the process, the information you have provided until that point will be destroyed and deleted from our records after 6 months. We do not collect more information than we need to fulfil our stated purposes and will not retain it for longer than is necessary. Some employee information may be processed by our payroll provider based in the UK.
Suppliers (including individuals associated with our suppliers)
We keep personal data about our suppliers (including individuals associated with our suppliers) in order to manage the relationship, contract, to receive services from our suppliers and, where relevant, to provide professional services to our business customers,
- Receiving services: for example, facilities management or other outsourced services
- Managing our relationship with suppliers
- Maintaining and using IT systems
- Managing our website and systems and applications
Online shopping security
Daylight uses Secure Socket Layer (SSL) technology for mutual authentication, data encryption and data integrity- all to ensure secure transactions for our customers. SSL is the industry standard security protocol to encode sensitive information, such as your credit card number. SSL creates a shared digital key which only lets the sender and the receiver of the transmission scramble or unscramble information. To everyone else, even the servers relaying the message, the SSL transmission is indecipherable.
We also protect your privacy by limiting employee access to and use of customer data. While we may provide statistics to outside companies about our customers, including sales and related site information, it will not include any personally identifying information.
